Imports: Adding Sites, Raters, and Students

Overview

One of the first steps in getting started with the DESSA System is to roster your sites, staff, and students in the DESSA System. Program Administrators can complete this task through the import tool using our CSV import template. Below, we have provided instructions on how to.

📌NOTE: For instructions on adding site leaders, unrostered educators and training only users, click here. Additional Program Administrators can only be added by the DESSA Support Team per request from another Program Administrator. To make a request to add a Program Administrator to the system, send an email to support@apertureed.com.

SIS-Managed Rostering

Your rosters will automatically be updated via your scheduled SIS Integration. Please work with your internal SIS contact to ensure the correct sites, staff, and students are added to your SIS imports. Additionally, any adjustments to active Assignment Rules should be made so that all Rater Lists are accurate to begin each School Year. Your Site Leaders, Unrostered Educators and Training Only users can be added manually in the Staff section or via a bulk CSV import. Instructions can be found here.

How to Prep the Import File

Step 1: Prep the CSV Import File for Import

  1. Select and open the DESSA Import Template (bottom of this article). 
  2. Populate your file according to the file specifications in the formatting guide, noting which columns are required. DO NOT EDIT ROW 1. 
  3. Save the file as a CSV on your computer. 

How to Import Staff, Sites, and Students (self-managed)

Step 2: Import the CSV File with Sites, Staff, and Student Data
  1. Navigate to the gear icon in the top right corner and select Admin from the drop-down menu. 
  2. In the left sidebar menu, select Imports.  
  3. Select the radio button for Sites, Educators, Students; click Continue
  4. Next, select either:
    1. Add New Records in File
      1. This option will only add new students/educators without removing any existing data.
    2. Add/update records in file and remove existing records not included in file
      1. This option will remove any existing student/educator records not included in the file currently being uploaded.  Useful when needing to free up available licenses for incoming students by removing students no longer in your organization.  All historical data will still be available via a Ratings Export

       5. After clicking Continue from the previous screen, click Browse and search for your saved              CSV template. 

       6. Select the Upload CSV button on the right side to complete the import.

       7. Once the file is successfully imported, and you are ready to invite staff members, select the             Invite button from the Staff list on the left-side menu.
