Identifying Unassigned Students using the Assignment Review CSV Export
Overview:
This article provides the steps for identifying which students are not currently assigned to a rater using the Assignment Review CSV export. It will cover both students who haven't been assigned and those who were skipped and haven't been reassigned.
NOTE: The Assignment Review is only available for those with Site Leader or Program Admin accounts in the Aperture System.
How to Download a CSV File of the Assignment Review List:
- Select the Admin gear icon in the top-right corner.
- Select Admin from the drop-down menu.
- Select Assignment Review.
- Select the ellipsis icon […].
- Select Export CSV.
- Download and open the file using a spreadsheet program, like Microsoft Excel.
Using the Assignment Review CSV Export to Identify Unassigned Students:
Identifying Students Who Haven't Been Assigned a Rater:
- Open the Assignment Review CSV Export in Microsoft Excel.
- Select column B in its entirety by clicking on the “B” above the column header “Rater Name”.
- On the home tab, find the “Editing” section and select “Sort & Filter”.
- From the dropdown, select “Filter”.
- Click on the arrow that appeared next to the column header “Rater Name”.
- In the dropdown, uncheck the “Select All” box.
- Scroll down and check the box that says “(Blanks)” at the bottom.
- Click “OK”.
The students who appear with this filter are not assigned to any rater and didn't have their rating assignment manually changed.
Identifying Students Who Were Skipped and Need to Be Reassigned
- Open the Assignment Review CSV Export in Microsoft Excel.
- Select all the data by clicking the triangle between Column A and Row 1 in the top left corner.
- On the home tab, find the “Editing” section and select “Sort & Filter”.
- From the dropdown, select “Custom Sort”.
- In the box that pops up, make sure the checkbox in the upper right corner saying “My data has headers” is checked.
- In the “Sort By” dropdown, select “Manual Changes” and hit “OK”. This will bring all the students with manual changes to their rating assignments to the top of the spreadsheet.
- Select column E in its entirety by clicking on the “E” above the column header “Student ID”.
- On the home tab, find the “Styles” section and select “Conditional Formatting”.
- From the dropdown, select “Highlight Cell Rules” and then select “Duplicate Values…”.
- Click “OK” on the popup box. This will highlight all students who appear in the file more than once in red in the Student ID field.
- Select all the data by clicking the triangle between Column A and Row 1 in the top left corner.
- On the home tab, find the “Editing” section and select “Sort & Filter”.
- From the dropdown, select “Filter”.
- Click on the arrow that appeared next to the column header “Manual Changes”.
- In the dropdown, uncheck the “Select All” box.
- Scroll down and check the box that reads “Skipped”.
- Click “OK”. This will show you all the skipped students.
- Select all the data by clicking the triangle between Column A and Row 1 in the top left corner.
- On the home tab, find the “Editing” section and select “Sort & Filter”.
- From the dropdown, select “Custom Sort”.
- In the box that pops up, make sure the checkbox in the upper right corner stating “My data has headers” is checked.
- In the “Sort By” dropdown, select “Student ID”.
- In the “Sort On” dropdown, select “Cell Color”.
- In the “Order” dropdowns, select “No Cell Color” and “On Top”.
- Hit “OK”. This will bring all the students who were skipped and don't appear in the file again to the top of the spreadsheet.
Any student who was skipped and not reassigned will appear at the top of the spreadsheet with their student ID NOT highlighted in red.
